A guest link is a credential. Anyone with the complete URL can use its view or edit grant without signing in. Guest links do not expire on their own. Only the workspace owner can create or manage guest links.
  1. Open Workspace actions.
  2. Select Workspace settings.
  3. Open Share links.
  4. Select New view link or New edit link.
  5. Select Copy link and store the complete URL before leaving the page.
Workspaces shows the secret URL once, when it creates the link. The link list keeps its ID, access level, creation time, and whether it has been revoked, but not the secret. If you lose the URL, revoke that link and create another one.

Choose view or edit access

  • A view link grants view access.
  • An edit link grants edit access.
A guest link adds access. It does not reduce wider workspace visibility. On an open workspace, the plain workspace URL remains editable even if you create a view link. The current app hides Edit when someone enters through that view link.
  1. Open Workspace settings and Share links.
  2. Find the link by its ID and access level.
  3. Select Revoke.
Workspaces revokes that token’s grant and checks live sessions. It closes sessions that rely on the token. If a check fails, an affected session can remain open until it reconnects. A recipient may still have app access through workspace visibility, organization membership, ownership, or another guest link. A version-pinned raw URL remains a separate way to read its stored file. If access must end, review workspace visibility, organization membership, and every other active guest link.
  • Send the complete URL only to the intended recipients.
  • Do not place it in public logs, issue reports, screenshots, or source files.
  • Create a separate link for each recipient and record its ID so you can revoke one without affecting another.
  • Revoke a link sent to the wrong person, then create a new one.
